Embed AI logic into the existing appointment system to automate symptom classification, doctor matching, slot booking, and patient/doctor notifications.
The Challenge (Before AI)
The hospital’s manual appointment process was causing delays and errors:
- Patients called the hospital → receptionist listened to symptoms
- Receptionist manually decided which doctor specialty matched
- Receptionist checked doctor schedules (paper or basic system) for available slots
- Receptionist booked the slot, told the patient, then informed the doctor via internal message or email
- No automated check for returning patients → same symptoms, different doctor assigned unnecessarily
- Missing patient info (phone, preferred date) required callbacks → delays
Business impact:
- 10+ minutes per appointment for receptionist

1. Smart Symptom Classification & Doctor Matching
When a patient fills an online form (or calls are transcribed), the system automatically:
- Extracts symptoms from free text using NLP
- Classifies disease area (Cardiology, Dermatology, Orthopedics, etc.)
- Matches to the correct doctor specialty based on hospital’s doctor-service mapping

2. Real‑Time Slot Checking & Auto‑Booking
After doctor is identified, AI:
- Queries the doctor’s calendar (API integration)
- Checks availability on patient’s preferred date/time
- If slot free → auto‑books instantly
- If slot full → finds next available slot within 3 days and offers alternatives via email
- Result: Zero double bookings. Patient gets confirmed slot in under 1 minute.
3. Auto‑Notifications to Patient & Doctor
Once booked, the system automatically:
- Sends patient an email/SMS with: doctor name, date, time, location, preparation instructions (fasting, etc.)
- Sends doctor an email with: patient name, symptoms summary, appointment time, and link to patient history (if returning)
Result: Doctors are informed instantly – no 30–60 minute delay.
4. Missing Info Auto‑Follow Up
If the patient’s form is missing critical information (phone number, preferred date, or emergency contact), AI:
- Detects the missing field
- Sends a personalized email asking for exactly what’s missing with a direct link to complete the form
Result: 85% of missing info resolved within 2 hours without any phone call.
5. Returning Patient Recognition (Core AI)
Once a patient submits a form, AI queries the database:
- Existing patient? → AI pulls previous diagnosis and assigned doctor → suggests the same doctor (continuity of care) → auto‑books if that doctor has availability
- New patient? → AI runs full classification → assigns appropriate doctor → saves profile for future visits
